This policy explains how FundFlex Intelligence Ltd ("FundFlex", "we", "us", "our"), a company registered in Scotland, collects, uses, shares and protects personal data when you visit our website or request access to the FundFlex Intelligence platform. We are the controller of the personal data described here.

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. The personal data we collect

• Access & demo requests. When you complete a request form we collect your name, organisation, work email address, and either the funding priority you select or, for partners, your organisation type.
• Correspondence. If you contact us, we keep a record of that correspondence and the information it contains.
• Technical & usage data. Standard server logs and similar information (such as IP address, browser type and pages viewed) that are generated automatically when you use the website.

We do not knowingly collect special category data through this website, and we do not use the website to collect data from children.

2. How and why we use your data (lawful bases)

• To respond to your request and arrange access or a demonstration — on the basis of steps taken at your request prior to entering a contract and our legitimate interests in responding to enquiries.
• To operate, secure and improve the website and platform — on the basis of our legitimate interests in running our business securely and effectively.
• To send you service or relationship communications relevant to your enquiry — on the basis of our legitimate interests; where the law requires it, we rely on your consent, which you may withdraw at any time.
• To comply with legal and regulatory obligations — on the basis of compliance with a legal obligation.

Where we rely on legitimate interests, we have assessed that these interests are not overridden by your rights and freedoms. You may object to this processing at any time (see section 7).

3. Cookies and third-party services

This website does not set advertising or tracking cookies. Our web pages load typography from Google Fonts; when they do, Google may receive your IP address and technical request data as an inherent part of serving those font files. If you contact us or submit a request, your details are handled as described in this policy.

4. Sharing your data

We do not sell your personal data. We share it only with:

• Service providers (processors) who help us operate our website, hosting, email and communications, acting on our instructions under appropriate contracts;
• Professional advisers (such as legal and accounting advisers) where reasonably necessary;
• Authorities or third parties where required by law, regulation or to protect our rights.

5. International transfers

Some of our service providers may process data outside the UK. Where they do, we take steps to ensure an adequate level of protection, for example by relying on UK adequacy regulations or on standard contractual clauses together with the UK International Data Transfer Addendum.

6. How long we keep your data

We keep personal data only for as long as necessary for the purposes set out above, including to respond to your enquiry, manage our relationship with you, and meet legal, accounting or reporting requirements. When data is no longer needed, we delete or anonymise it.

• have your data erased in certain circumstances;
• restrict or object to processing;
• data portability; and
• withdraw consent at any time where we rely on it.
